Salon message templates: 14 you can copy and use today
Ready-to-use WhatsApp templates for confirmations, reminders, no-shows, rebooking, birthdays and win-backs — written to be replied to.
Most salon messages fail for the same reason: they are announcements. They tell the client something instead of asking them something. A message with no question does not get a reply, and a message with no reply does not tell you anything.
Here are fourteen templates that get answered. Replace the square brackets and keep the length — every one of these is short on purpose.
Confirmations
1. On booking
Hi [Name] — you're booked for [Service] with [Stylist] on [Day] at [Time]. See you then. Reply here if anything changes.
2. Online booking, first-time client
Hi [Name], thanks for booking with [Salon]. [Service] with [Stylist], [Day] [Time]. We're at [short address] — the entrance is [landmark]. Anything you'd like [Stylist] to know beforehand?
Reminders
3. Day before — the workhorse
Hi [Name] — reminder that you're with [Stylist] tomorrow at [Time] for [Service]. Reply C to confirm, or tell us if you need to move it.
4. Long or high-value service
Hi [Name] — your [Service] with [Stylist] is tomorrow at [Time]. It runs about [Duration], so do allow the time. Reply C and we're set.
5. Same-day, two hours before
See you at [Time], [Name] — [Stylist] is ready for you.
When plans change
6. Client asks to reschedule
No problem at all. [Stylist] has [Option 1] or [Option 2] free this week — which suits?
7. You have to cancel
Hi [Name] — I'm sorry, [Stylist] is unwell and we need to move your [Day] appointment. I can offer [Option 1] or [Option 2], or [Alternative stylist] at your original time. Which would you prefer?
8. After a no-show — first time
Hi [Name], we missed you at [Time] today — hope everything's alright. Want me to find you another slot this week?
9. After a no-show — repeat
Hi [Name] — that's the second appointment we've held open. We'd still love to see you; for the next one we take a small deposit that comes straight off your bill. Shall I book you in?
Rebooking and retention
10. Rebook nudge, timed to their own cycle
Hi [Name] — it's about [N] weeks since your [Service] with [Stylist], which is usually when you're due. She has [Day] [Time] free. Want it?
11. Drifting client
Hi [Name], we haven't seen you since [Month] and [Stylist] was asking after you. Anything you'd like us to do differently? Happy to book you in whenever suits.
12. Birthday — no discount needed
Happy birthday, [Name]! If you're in this month, [Stylist] would love to do something special with your [Service].
After the visit
13. Review request, two hours later
Hi [Name] — hope you're happy with the [Service]. If you have a minute, a quick Google review genuinely helps us: [link]
14. Retail follow-up, a week later
Hi [Name] — how are you getting on with the [Product]? [Stylist] said to use it on damp hair, not dry, if you haven't already.
Four rules that make these work
- Use their name and the stylist's name. A message with two real names in it reads as a person writing.
- End with a question. A question gets a reply; a statement gets ignored.
- Send between 6 and 8pm. Not 8am, not after 9pm.
- Never send the same broadcast to everybody. That is the message that gets your number blocked, and it costs you the reminders that were working.
None of this needs a marketing platform. It needs the client's name, their stylist, and what they had last time — which your booking system already knows.
